The important consideration is the equipment lease/purchase itself. Even the cost of a medium-quality, medium-size machine is a considerable amount to expend on a monthly basis when you might only need it during the peak periods in your business-the many cases that the copier cannot handle the demands placed on it.

An interesting note is that many marketing and management classes at the universities actually recommend against buying or leasing a machine and tieing up the capital year-round to support high-activity periods when a pickup and delivery copy service can save you both money and time, and generally do a better job.

Black & White Copier/Printer

For this example, we will use 20,000 copies a month on a mid-range black & white copier with a collator, auto-feeder and duplexing capability, ranging between 60-80 copies per minute.

For this example, let's use basic Xerox color printer, total value of $17,000.00 with a volume of 3,000 color copies per month.

The purchase of the least expensive equipment, would average between $15,000.00 and $200,000.00. Call it between 30 cents and 50 cents per print (8.5 x 11 papersheet) year-round. A mid range price of 40 cents per print based on the volume of 3000 prints, is $1,200 per month x 12 months is $14,400 per year. Please take a note: Your cost per print could actually increase as much as 30% if your equipment is not used during slow months like summer time.
